The Senior Executive Assistant provides support to the Chief Administrative Officer, Enterprise Services & Public Affairs (ESPA). The Chief Administrative Office is a nimble team that covers a broad scope of responsibilities in a dynamic and fast-moving environment. The team works with a wide range of internal partners, including senior leadership, and coordinates closely with other members of ESPA as well as stakeholder teams around the world. The CAO Team is solely responsible for ensuring strong end-to-end ESPA Controls Governance Framework and partners closely with all groups related to Finance, Human Resources, and Operations and Technology. ESPA CAO also manages Citi's Discounts to the Arts Program and ESPA's Corporate Philanthropy.

Must be able to manage complex calendars, handle correspondence, arrange meetings and video/conference calls, coordinate travel and execute other administrative tasks.
Key Responsibilities
• Efficiently manage calendar, materials, travel, and all other needs
• Ensure that calendar is comprehensive and complete well in advance, including all materials, background, talking points and any other information
• Coordinate all aspects of appointments, meetings, receptions, events and video/conference calls and maintain frequently-changing calendars with accuracy and precision
• Handle incoming calls and inquiries; process and follow up on all requests
• Prepare and send out internal/external correspondence
• Coordinate travel arrangements and manage expense reports through Citi's Travel and Expense (CTE) system
• Order supplies and process invoices through P2P (invoicing) system
• Coordinate weekly batch of Travel & Entertainment items for review
• Track and maintain team vacation schedules, remote schedules
• Support coordination of bi-weekly CAO team meeting
• Manage 18th floor locker/cabinet assignments, ID badge access and attend 18th floor facilities meetings on behalf of the team
• Maintain and update monthly ESPA organizational charts and calendar
• Coordination of Corporate Philanthropy events including invitation management and liaising with charitable organizations
• Assist with Discount to the Arts offering fulfillment
• Assist with ESPA Talent Development Program and colleague engagement
• Assist with special projects as needed (e.g., ESPA Offsite) Qualifications:
• 5+ years' experience; previous office administration experience preferable
• Works well in a team environment and collaborates with other executive management offices
• Highly proficient in Microsoft Office, Word, Excel, Power Point, Outlook
• Senior-level executive admin experience
• Consistently demonstrates clear and concise written and verbal
communication skills
• Self-motivated and detail-oriented
• Positive attitude and strong work ethic
